Our client is a product distributor managing inventory across multiple warehouse locations. Each month, individual warehouses send updated inventory spreadsheets that need to be reconciled against the company's internal master inventory records. It's a critical step for catching discrepancies before they become costly fulfillment errors or billing headaches.
Manual Reconciliation Was Draining Time and Creating Risk
Every month, a team member would sit down with the warehouse spreadsheets and the master inventory file and go through them line by line, manually hunting for mismatches in quantities, container numbers, and product details across potentially hundreds of rows of data spread across multiple warehouse locations.
Beyond the raw time cost, this manual approach created real risk. Human eyes miss things, especially after the twentieth row of similar-looking data. A missed variance could mean inaccurate inventory counts, incorrect billing, or customer orders that couldn't actually be filled.
There was no easy way to quickly see only the items that had problems. Everything had to be reviewed, even the rows that matched perfectly (which was most of them). And because the process was tedious, it was also the kind of task that got put off, rushed, or dreaded each month.

We built a custom reconciliation spreadsheet that fits directly into their existing workflow. No new software subscriptions. No lengthy onboarding. No technical training. Just a smarter version of the tool they were already working in every day.
The spreadsheet is organized into a few key tabs: one for the master inventory, one per warehouse, and a Master Summary tab that does all the heavy lifting automatically.
Instead of scanning every single row, the team now sees only the discrepancies that need attention. The tool also highlights containers that appear more than once, making split-quantity situations immediately obvious rather than a hidden source of confusion.
